The Project Background & Objective

The Mount Zion Institute Alumni International Fellowship (MZIAIF UK), a global faith-based group, extends its reach across 65 countries, bringing together alumni from the UK, Ghana, Canada, USA, Sweden, Ireland, South Africa, Nigeria, etc. The MZIAIF UK was established during the COVID-19 pandemic which means all meetings and activities were conducted online via Zoom. Notably, film productions by this group also embrace digital collaboration, showcasing the innovative power of the digital world. However, a face-to-face meeting and film production remained a challenge for the MZIAIF UK.

The project aims to plan and organise a weekend away to bring over 50 group members together face-to-face for the first time and use this rare opportunity to complete a Christian film and a group music project.

The key Project Challenges that We Overcome

GraceHola Ltd was approached to help overcome this challenge. There was an additional request from the group to be supported through our project management service to produce a Christian film and group music over this period.

The key tasks/challenges we underwent in providing this service are as follows:

Working to a tight timeline e.g. over 50 members of the group need to be brought together over a weekend away with a film and music projects delivered as output;
Finding a suitable central location for over 50 group members that is central to everyone was quite a challenge. All the group members are living in different locations across the UK;
Ensuring group members work collaboratively together to identify and agree on scripts, film production crew, filming locations, casts, etc was a challenge that we worked to overcome;
Identifying key stakeholders to partner with to ensure project delivery within budget and on time;
Making sure that the whole project design and delivery was inclusive of the group’s youth department including their effective participation;
Ensuring all delegates Health & Safety on site; and
Ensuring that all group members are fully engaged and involved throughout the project’s definition, design, and delivery to achieve successful outcomes.

The Project Activities & Outcomes

The actions we took to ensure that we performed to an exceptional standard are as follows:

Project Management Support:

We worked positively with the senior leadership team of the group to agree on project objectives, scope, budget, timeline, expected outcomes, and evaluation criteria.
We worked collaboratively with all group members to ensure project co-production throughout the process, managing and controlling all risks and identified issues.

Event Planning & Organisation:

We worked to identify a central location that is all-inclusive and easily accessible by all members. We worked with the venue positively to ensure that the needs of all our delegates were met as required.
We secured suitable locations for the film and music production, and we ensured that all necessary planning and organisational tasks were effectively completed.

Stakeholders Engagement:

We identified key stakeholders and partners for the project, and we engaged them positively throughout;
Five partners were engaged with positive outcomes:
The Kingdom Lanterns Film Productions Wirral, GreatMinds Childcare Services South London, Hephzibah Christian Ministry South London, Dominion Film Productions Kent, and Illuminated Creation (IC) Streaming, Global Content Broadcasters, Chatham Kent.

We recorded positive outcomes and project objectives were achieved.

Project delivered on time and within budget
Over 50 group members met each other for the first time face-to-face;
Over three short Christian films were completed exceeding the agreed expected outcomes;
MZIAIF UK music completed by the group;
Five organisations collaborated and co-produced together as partners, achieving better outcomes.
